TERMS & CONDITIONS (East Sussex pool based triathlons)


By entering yourself (or on behalf of another applicant, you retain the responsibility to acquaint the participant of these conditions; please also see 'higher duty of care' note below for applicants under 18 years of age) into the chosen event you accept that this event is conducted under the rules and conditions of The British Triathlon Federation and agree to acquaint yourself with, and abide by those rules and any instructions issued by the organiser. You declare that you are fit to take part in this event, and understand that you take part entirely at your own risk and relieve the organiser of any responsibility for any injury, loss or damage sustained to either your person or property as a result of your participation. All competitors are required to ensure they are physically fit to take part at the level entered.
Where applicable, all competitors must ensure a road worthy bicycle is used. That all parts of the cycle are in good working order e.g. brakes.

Lost or damage to property is at the owners own risk during the event


We are aware that applicants can be injured in training and may need to withdrawal from a race. However, please understand that costs are incurred by the race organiser from the time of your entry being processed. For instance, facilities, services and goods have to be booked and paid for in advance. Therefore, to protect the event, a notice of intended withdrawal will be accepted for refund requests:

If there is Bad weather on the day of the event the race organiser reserves the right to change/substitute/shorten the course to ensure the event runs safely. No refunds will be possible.

If the event is canceled by the organiser an alternative date will be put forward and competitors can choose to enter for the new date or have a credit toward a future event.



*2 days or longer prior to an event a substitution can be made in the event with no charge. Details requesting a change must be emailed via the applicants original email account. Details of the replacement competitor must be supplied: Name, Address, Email, Telephone (Mob), DOB and estimated 400m swim time. If the substitution request is made within 7 days of the event, it is probable that race numbers and starting times would have been assigned so substitutes should check with other swimmers regardless of their assigned race number to start in a suitable graded position.

PHOTOGRAPHY & FILMING (by Multisport-Management)

You agree that all photography and video filming taken during the event may be used for future advertising and marketing purposes. This may include publishing event pictures on the Multisport-Management website and used for future marketing promotional material.


Guardian/parents applying for participants whose age is below 18 years at the time of application invokes a 'Higher Duty of Care' and must be aware of the following:
For junior participants whose age is below 18 years at the time of application, a higher duty of care exists and is maintained for the participant as the responsibility at that time by the person performing the transaction to complete the entry process. By definition, the card holder is 18 years or older and assumes the principle guardianship responsibility of consent and evaluation of suitability for participation from their knowledge of the individual. This will include an understanding and appreciation of the implications of the health and endurance requirements to participate in the event(s) in question, and of an event’s race practices and course. It is expected that for these situations, the card holder adds their detail prior to submitting the completed web application form. This does not infer that the duty of care remains wholly with the person conducting the transaction, but rather in their compelling judgment and responsibility in this issue. Nonetheless, the event itself is run under the governing body's (BTF) sanctions whose certificate is only issued once the whole event has received a detailed written risk assessment. In this way, the duty of care by way of the event organiser and officials is persisted through these measures.

How we use your information - Information submitted through this web page or by using a paper/manual entry method is kept securely on computer and used only for the administration of your entry and participation in these events. These details will not be shared with any other or third party except under the following situations:


You must be a member of the BTF or be a 'day member' in order to take part in a BTF sanctioned event. Entries are taken and charged at the non-BTF member rate with the 'day membership levy' applied. We ask BTF members to include their licence number in the application to assist with this administration task at registration where the 'day levy' is refunded upon production of their valid and current BTF membership licence. Failure to produce the valid membership licence at registration automatically invokes the day licence scenario and no refund will be given. For non-BTF members, a downloadable certificate is available which constitutes a day membership licence, but to save resources, we suggest non-BTF member participants bookmark a link to this certificate for reference.
Day licence/BTF membership provides you with Third Party (Public) Liability insurance, provided by the BTF's insurer which will indemnify the member in respect of a successful Third Party claim made against them. The policy generally has an indemnity limit of £10,000,000.

The typical association statement is as follows: As a condition of your day licence membership, you agree to the details of your name, address, telephone number and date of birth being forwarded to the BTF for the purpose of registering your day licence membership. This forms part of your conditions of entry which you agree to by ticking the "I have read & agree to abide by the conditions of entry" box. Credit/Debit card details entered are handled independently by NoChex using 128 bit encryption technology over a secure connection (https) consistent with on-line transaction software. The Multisport-Management web pages and on-line entry pages do not record or handle any credit/debit card detail. All credit/debit card detail is input directly to web pages operated by NoChex who are compliant with Payment Card Industry Data Security Standard requirements PCI DSS, details of which can be found here and here. PLEASE NOTE: Once you are within the transaction pages, please pay particular attention to the card address detail. Your payment is likely to fail if your address details differ in any way from those recorded against the card used by your credit card bank. This is called Address Verification. This has been most prevalent where an address consists of a flat number in addition to a house number, or is simply a 'house name' only. If you have a problem during the payment stage, we strongly recommend you refer explicitly in the first instance to the address and post code detail shown on your statement. You may even have to call your Credit Card bank as there have been occasions where a 'house name' has been miss-recorded in their record where a house number should be! This too will return an 'incorrect address correlation' and the payment will fail. Other failures are usually due to an obvious incorrect card account number entry/CSC code/expiry date.

Although potentially frustrating at the time, please bear with the credit card handler's 3rd party systems used for these security measures. They are not in Multisport-Management's control. However they may just save you time and expense in the long term should you become a victim of attempted fraudulent card use. Remember, it is your Credit Card bank refusing the payment, not Nochex.

*(note: in the context of 'days before an event', day 1 = the day BEFORE the event; ie: if the event is on a Sunday, then day 7 prior to this will be the previous Sunday).
